Riverside Office The Billing/Accounting Assistant position is a critical role in the organization.
Responsible for assisting the day-to-day operation of the accounting department in many different accounting cycles.
They are also responsible for operating and completing tasks on accounting systems and understanding systems and data.
The successful candidate will have a positive, professional demeanor, excellent interpersonal skills and will be able to work as a team player.
The nature of the work will require that the candidate demonstrate initiative and responsibility and be flexible/adaptive to a fast-paced and fluid business environment.
Candidate must be able to communicate effectively with all levels of the department and organization.
Project setup in the accounting system:
Including Schedule of Values, Budgets, and general contract review (Customer info, payment terms, billing requirements, verifying contract type) Maintain project-related records, including budget requests and subcontractor budgets Enter and prepare subcontractor invoices related to a project Report to management on any opportunities for additional billings Credit Card expense and coding entry Create and processing all project-related billings to customers Close out project accounts upon project completion Organization and maintenance of accounting department project files and documents.
Monthly credit card reconciliation.
Set up new projects in accounting system and adjust project budgets when needed.
Coordinate with accounting team to assist with flow of Accounts Payable and Accounts Receivable processes.
Maintains accounting records by making copies and filing documents; Protects organization's value by keeping information confidential.
Set up client accounts.
Assist other departments when necessary.
Interact with other departments in a professional and friendly manner.
Answer and respond to customer inquiries.
Review and validate vendor invoices for accuracy and create budge tracking spreadsheet.
Various data entry in company specific software.
Work with customers/vendors on remittance.
Maintain invoice files Provide a variety of administrative support functions for the Executive Management staff.
Handles all subcontractor correspondence via phone or email.
Investigates and resolves problems associated with processing of invoices.
Assists with monthly status reports, and monthly closings.
Additional administrative support tasks as needed.
Skills and
Qualifications:
The ideal candidate will have 2 years of experience in an accounting related role and understand the aspects of job costing and in the engineering field.
General Ledger accounting experience is a plus.
This is a full-time position that includes company provided medical insurance, vacation pay, sick time, and a 401K Retirement plan with company match.
